Privacy Policy

Draft for review. This page was rebuilt from the current site and needs a final check of exact wording before launch.
Wenmar Pro Inc. (“Wenmar”, “we”) runs shop management software for automotive shops. This policy explains what personal information we collect, why, who we share it with and the choices you have. It covers:
- this website, wenmarpro.com
- the web app at app.wenmarpro.com, including each shop’s own workspace
- the customer portal your customers use to approve work and pay
- our iOS and Android apps
We serve Canadian shops and follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and comparable provincial laws. If we expand to the United States, we will update this policy to honour state privacy rights such as the CCPA/CPRA before we begin operating there.
We decide how marketing, account and platform data is used. For the customer information your shop enters (your customers, their vehicles and their work orders), we act as your service provider and only use it to run Wenmar Pro for you.
What we collect on this website
We keep this website deliberately light.
| Where | What we ask for | Why |
|---|---|---|
| Demo request | Name, email and shop name. Phone, number of bays and city are optional. | To set up and run your demo. |
| Contact form | Name, email and your message. Shop name is optional. | To reply to you. |
| “Keep me posted” and Field Notes | Email address only. | To send the emails you asked for. You can unsubscribe in one click. |
| Future programs | Email and industry. Number of bays is optional. | To tell you when we support your type of shop. |
No tracking. This website does not use analytics cookies, advertising pixels, session recording or third-party trackers. The only thing it stores in your browser is your light or dark theme choice, and that never leaves your device.
Forms are processed by our website host so we can receive your message. We never add you to a mailing list you didn’t ask for.
What we collect when you use Wenmar Pro
Account owners and staff
- Names, emails or usernames, roles and billing contacts.
- Sign-in security data: hashed passwords, PIN and QR login tokens, login times, IP addresses and lockout counters.
- The work you do in the app: work orders, inspections, invoices, messages, photos, videos and attachments.
- Technical data such as feature usage, error reports and request details, used to keep the service running and fix problems.
Your customers’ information (entered by your shop)
- Contact details, consent notes, vehicle details (VIN, plate, odometer, unit number), inspection photos and video, approvals and signatures.
- Service history, invoices, receipts, refunds and messages shared through the customer portal.
Messaging
- Text and voice details through Twilio: phone numbers, timestamps, delivery status and the type of action taken.
- Business registration details that carriers require before your shop can send business texts.
- Outgoing email through SMTP2GO, and incoming email parsing through Mailgun for parts and DriveOn safety certificate inboxes.
Payments and accounting
- Fiska handles all card details directly. We only store payment references such as transaction IDs, terminal IDs and card-on-file tokens. We never see or store full card numbers.
- If you connect QuickBooks Online, we store account mappings and sync records so we can send your invoices, customers and payments to Intuit on your behalf.
Search and AI improvement
- To improve search and AI suggestions, we record search terms, result counts, timing and which suggestion was used. Staff and record IDs are hashed (scrambled) before they are stored, and phone numbers and emails are never logged.
- Each staff member’s last 20 searches are saved so they can find things again. “Clear all recent searches” deletes them immediately.
How we use information
- To run Wenmar Pro: set up accounts, support multi-location shops and give your customers portal access.
- To keep accounts secure: sign-in, session protection and fraud prevention.
- To process payments and refunds through Fiska and, if you connect it, sync with QuickBooks Online.
- To send the messages your shop sends: invoices, inspections and reminders by text and email.
- To understand overall usage and fix stability problems.
- To contact you about Wenmar Pro only where you have agreed to it.
- To meet legal, tax and audit obligations.
We do not sell personal information, and we do not use your customers’ information to market to them.
Consent
We rely on your consent, either express or implied depending on the situation, as PIPEDA allows.
- When you connect QuickBooks Online or Fiska, you give us express consent to send the related business and financial data between those services and Wenmar Pro.
- Your shop is responsible for getting your customers’ consent before adding their information or texting them.
- You can withdraw consent at any time by emailing help@wenmarpro.com.
Who we share information with
We share only what each provider needs to do its job. Each one is bound by confidentiality and security obligations.
| Provider | What they do | Location |
|---|---|---|
| Netcup | Primary hosting | Germany |
| Backup storage | Replicated backups | Canada |
| Twilio | Text messages and voice | United States |
| SMTP2GO and Mailgun | Sending and receiving email | United States |
| Fiska | Card payments | United States |
| Intuit (QuickBooks Online) | Accounting sync, only if you connect it | United States |
| PostHog | Product usage analytics inside the app, with hashed IDs | United States |
Because some providers are outside Canada, your information may be processed in other countries and may be accessible to authorities there under their laws. We may also disclose information when the law requires it, to enforce our agreements or to protect someone’s safety.
How long we keep it
- Account records: while your subscription is active, then as long as tax and financial laws require.
- After you cancel: 60 days of read-only access so you can export your data, then deletion as described in our Refund Policy and Terms of Service.
- In-app usage analytics: up to 24 months.
- Website form messages: only as long as needed to respond to you, and no longer than 24 months.
How we protect it
- Encryption in transit (TLS) and at rest, with extra encryption on sensitive fields such as API keys, contact details, VINs, plates, signatures and session IP addresses.
- Least-privilege access, multi-factor authentication for staff with elevated access, and strict separation between shops.
Your rights and choices
- You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it.
- Every promotional email has an unsubscribe link. Text recipients can reply STOP to opt out or HELP for help.
- If you are a shop’s customer, you can also contact that shop directly about information they entered.
We will reply within 30 days. If you’re not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
Changes to this policy
If we make a meaningful change, we will update the date above and let account owners know by email before it takes effect.
