Month End Reporting

Pull together your numbers for the month — sales, technician productivity, and outstanding balances.

Contents

Month-end is when you take stock of how the shop did — and what’s still owed to you. Wenmar Pro’s reports give you the numbers, so the task is pulling the right ones and checking them against each other.

You’ll Need

  • A manager or admin (report access)
  • The reporting month you want to review

Step 1: Start with Performance

Go to Reports. The Performance report is the big-picture view — car count, average repair order (ARO), and revenue for the period. Set your date range to the month and look at:

  • How many cars came through
  • Average invoice value
  • Total revenue

This gives you the headline numbers for the month.

Step 2: Check the Sales Summary

Open Reports → Sales Summary. This breaks revenue down by payment method and (optionally) by advisor or technician. This is where you confirm:

  • Total sales for the month
  • What came in as cash vs. cheque vs. card vs. e-transfer
  • Sales attributed to each advisor or technician

You can export this to a spreadsheet file if you need to send it to your accountant.

Step 3: Review Technician Productivity

Open Reports → Technician Productivity. This shows how much billable work each technician completed and their efficiency. Useful for:

  • Spotting who’s productive and who needs support
  • Checking that billed labor matches hours on the floor
  • Planning for next month

Step 4: Check Outstanding Balances

Money still owed is money you need to chase. Two reports help here:

  • A/R Aging (Reports → AR Aging) — every account with a balance, bucketed by how old it is (current, 30, 60, 90+ days). This is your collections list for the month.
  • Open Work (Reports → Open Work) — work orders still in progress and what they’re worth.

Send statements to customers with balances from Reports → Statements — see the Statements workflow for bulk sending.

Step 5: Review Financials

If you do bookkeeping, the Financial and Accounting reports pull the numbers your accountant needs — revenue, taxes, and cost breakdowns. Open Reports → Accounting for the tax summary.

Step 6: Cross-Check

Before you call the month done, sanity-check the numbers:

  • Sales Summary total should line up with what hit your bank (plus still-outstanding invoices)
  • A/R Aging totals should match the balance you expect from your charge accounts
  • Cash drawer sessions for the month should reconcile to cash deposits

If something’s off, dig into that area before moving on — a small fix now beats a big cleanup later.

Troubleshooting

The report totals don’t match my bank?

Check that all work orders were actually collected — unpaid work orders are still outstanding, not lost. Confirm A/R (charge account) sales are separate from collected cash/card sales.

I can’t find a report?

Every report is under Reports in the main navigation. If you only see a few, your role may limit access — a manager or admin can confirm.

How do I get these to my accountant?

Most reports have an Export option that downloads a spreadsheet or PDF. Use it to share the month’s numbers.
