Sending Monthly Statements

Send customers a monthly statement of what they owe, with bulk download and send.

Contents

A statement is a summary of what a customer owes — previous balance, new charges, payments, and the amount due. Wenmar Pro creates them automatically when fleet work orders close; you set the due date and send them.

💡 You’ll need

  • Closed fleet work orders (statements are created from these)
  • Owner or manager access to finalize and bulk-send

Viewing Statements

  1. Go to Reports, then Statements under Financial.
  2. Filter by Status (All, Open, Sent, Partial payment, Paid, Overdue, Closed), Type (Fleet or Retail), and a Start/End date. Click Apply or Clear.
  3. Each row shows the Statement #, Customer, Date, Due, Balance, and Status. Click a row to see its itemized charges and aging summary.

Downloading Statements

  • One — open the row’s menu and choose PDF.
  • All of them — click Download in the header to get a .zip of every matching statement, one PDF each.
  • For your accountant — click Export to download a spreadsheet (CSV).

Finalizing Statements

Click Finalize to set due dates and sync statements to QuickBooks. A confirmation shows how many were finalized.

Sending Statements

  • A single statement — open the row’s menu and choose Send. This opens the customer’s Messages with the statement ready to email.
  • Bulk send — open Reports → A/R Aging, tick the customers you want, then click Send Statements. On the preview you can edit each customer’s email, add CC/BCC Emails, optionally Attach invoice PDFs, and edit the Message Body before clicking Send. Sends run in the background.

Tips

  • A/R Aging tracks it — Open statements show up there, the fastest way to see who owes you and chase late accounts.
