Technician Assignment & Time Tracking

Assign technicians to work orders and services, track time with start/pause/complete, and manage the My Work view.

Technicians can be assigned at two levels: the work order (one primary tech) and each individual service (per-service techs). Time tracking runs per service — a tech clocks in on a service, does the work, and marks it done.

Two Levels of Assignment

Assigning the Primary Technician

  1. Open the work order
  2. In the Details panel (context panel on desktop, drawer on mobile), find the Technician field
  3. Search or select from your location’s staff
  4. The change saves automatically

When you assign a primary tech:

  • Any services without a tech get back-filled with this technician
  • If your plan includes digital inspections, a default inspection report is auto-created for this tech
  • Activity is logged: “{name} assigned {tech} to WO”

Assigning a Per-Service Technician

  1. Open the work order and go to the WIP tab
  2. Each service has a technician dropdown in its header
  3. Click it and select a different tech (or Unassigned)
  4. The change saves automatically

New services inherit the primary tech automatically when created. You only need to set per-service techs when you want someone different on a specific service.

My Work View

Technicians have a My Work view that shows only their assigned services:

  • Work orders where they’re the primary tech OR have services assigned to them
  • Toggle between Board and My Work at the top of the Work Board
  • Technicians without the “Can view work board” permission default to My Work and can’t switch to the full board

💡 Pro Tip

Most shops keep technicians on My Work so they see exactly what they need to work on without being distracted by the rest of the shop. Grant “Can view work board” only to techs who need the full picture.

Time Tracking

Time is tracked per service. A technician can only have one active (running) timer at a time — starting a new timer automatically stops the previous one.

Starting and Stopping

On the WIP tab, each service has an action bar:

  • Start (play icon, wenmar red) — begins a time entry for this service
  • Pause (pause icon, amber) — stops the active timer, keeps the service in progress
  • Done (check icon, emerald) — marks the service complete

From the board or My Work, the service clock card shows the same controls.

⚠️ Important

A tech can only start or pause services assigned to them. Advisors and managers can start/pause any service. Only advisors and managers can mark a service Done — technicians complete their work, but an advisor confirms it.

Adjusting Clocked Time

If a tech forgot to clock in or needs to correct their time:

  1. Open the service on the WIP tab
  2. Click the overflow menu (three dots) → Adjust Clocked Time
  3. Enter hours and/or minutes to add (positive) or subtract (negative)
  4. Enter an optional reason (e.g. “Forgot to clock in”)
  5. Click Apply Adjustment

Only advisors, managers, and admins can adjust clocked time.

Marking All Complete

When all services on a work order are done:

  1. On the WIP tab, click Mark All Complete in the action row
  2. This completes all authorized services at once
  3. The work order moves to “Completed” status, ready for payment

Individual labor lines can also be toggled complete independently via toggle_labor_completion.

The Unassigned Filter

If you handle dispatch, an Unassigned pill appears at the top of the Work Board. Click it to filter to work orders that have services without a technician assigned — a quick way to see what needs dispatching.

Multiple Techs on One Work Order

A single work order can have different techs on different services. The primary tech is just the default — you can assign specific services to specialists. For example, the primary tech handles the oil change while a brake specialist gets the brake service.

A tech can be assigned to many work orders at once. The only constraint is the single active timer — they can only have the clock running on one service at a time.

Inspection Technician

Inspection reports have their own technician field (separate from the work order’s primary tech). When you assign a primary tech to a work order, the auto-created inspection report is assigned to them.

If a different tech needs to do the inspection, reassign it from the inspection card’s overflow menu → Technician dropdown. Only admins, managers, and service advisors can reassign inspections.
