Reading the Parts Usage Report

See the parts you billed in a given period — quantity, cost, retail, and gross profit — and break the numbers down by part, brand, or technician.

Contents

The Parts Usage report shows every part you billed in a period: quantity, cost, retail (revenue), and the gross profit each part earned. Use it to see which parts move the most and which are eating into your margin.

💡 You’ll need

  • Owner or manager access to reports

Opening the Report

Go to Reports → Inventory → Parts Usage. The report starts on the current month.

Choosing a Date Range

Use the Range filter to pick This week, This month (default), Last month, This quarter, or Custom. Choosing Custom opens start and end date fields. You can also narrow the report to one person with the Tech filter.

The Summary Cards

Four cards across the top summarize the period:

  • Parts Billed — number of parts billed
  • Total Cost — what those parts cost you
  • Total Revenue — what you charged for them
  • GP$ — gross profit dollars (revenue minus cost)

Parts Billed Table

The Parts Billed table lists each line with its Billed date, Part, Part#, Brand, Qty, Cost, Revenue, GP$, WO#, and Tech. Click a WO# to open that work order.

Grouping and Drilling Down

Use the pill tabs across the top to group by Vendor, Brand, Work Order, Employee, Part Number, Part Type, or Technician. This shows a By … table with Lines, Qty, Cost, Revenue, and GP$ per group. Click a group’s name to drill into its — Line Items for the full detail.

Exporting

Click Export in the header to download the current results as a spreadsheet (CSV) file.

Tips

  • Group by brand or vendor to see which parts suppliers move the most.
  • Group by technician to compare which techs bill the most parts.
