Reading the A/R Aging Report

See what every customer owes you, broken down by how long it's been unpaid, so you can chase overdue accounts and send statements.

Contents

A/R stands for accounts receivable — the money customers owe you. The A/R Aging report shows every unpaid balance split into age buckets, so you can see who owes you, how much, and how long it’s been sitting. Use it to chase overdue accounts and send statements.

💡 You’ll need

  • Owner or manager access to reports

Opening the Report

Go to Reports → Financial → A/R Aging.

The Aging Buckets

Each customer row shows their Accts Rec (total owed) and how much falls in each bucket: Current (up to 30 days), 31-60, 61-90, 91-120, and 120+ days. A colored Status dot and label tell you the worst bucket — green Current, amber 31-60, orange 61-90, red 91-120 or 120+ days. Use the Account Type filter to show All Accounts, Fleet Only, or Retail Only. Click a customer row to open them.

Drilling Into the Details

Click All Invoices to see the unpaid invoices behind those totals. Each row shows the Customer, WO #, Statement #, Date, Age, and Amount. Click Back to Aging to return.

Sending Statements

Tick the customers you want, then click Send Statements and confirm the preview. The full flow is in Sending Monthly Statements.

Exporting

Click Print in the header to download the report as a PDF (ar-aging-summary.pdf).

Tips

  • Watch the red buckets — accounts at 91-120 or 120+ days are costing you money; chase those first.
  • Outstanding Credits — the report also lists customers with credit balances (overpayments) to resolve.
