Inspections & DVI
A Digital Vehicle Inspection (DVI) is where the money loop starts. The technician inspects the vehicle, rates each item, and takes photos. Wenmar Pro turns those findings into concerns on the work order — the advisor then builds the estimate from there.
How Inspections Work
Inspections use a template system. Your shop sets up inspection templates (e.g. “Courtesy Check”, “Multi-Point Inspection”) with groups and items. When a work order gets a technician assigned, Wenmar Pro auto-creates inspection reports from the default templates — no setup needed per work order.
- Template — the reusable checklist (managed by admins/managers under Inspections in the main nav)
- Inspection Report — the actual instance attached to a specific work order
Starting an Inspection
You’ll need: a work order with a technician assigned.
If no technician is assigned, you’ll see a warning: “No technician assigned. Assign a technician in the details panel before starting the inspection.”
When a technician is assigned, Wenmar Pro automatically creates inspection reports from your shop’s default templates. If you want to add a different template:
- Go to the Inspection tab on the work order
- Click Add inspection
- Pick a template from the drawer
- Click the template card to add it
Marking Items
Each inspection item has four status buttons:

Tap a button to set the status. It saves automatically.
Quick Findings (Presets)
If a template item has preset findings configured, you’ll see a notepad icon (Quick findings). Click it to choose from predefined findings like “Worn past spec” — each preset has a color rating (green/yellow/red) and optionally links to a package. Selecting a preset that has a linked package automatically adds that package’s services to the estimate.
Measurements
Some items require a measurement (e.g. brake pad thickness in mm). Enter the value in the measurement field — it saves on blur.
Notes
Click the Add note icon (pencil) to add a text note to any item. The note field appears inline and autosaves.
Photos and Videos
Click the Add photo/video icon (camera) to attach photos or videos. On mobile, this opens your camera. You can also drag and drop files.
After adding a photo, you can annotate it — draw on the image with red pen (choose stroke width), undo, or erase. Click Save to keep the annotation or Skip to use the original.
Bulk Actions
On each inspection card’s overflow menu (three dots), you can:
- Mark all as Good / Fair / Poor / N/A — fills in all unrated items with that status (doesn’t override items you’ve already rated)
- Reassign the inspection to a different technician (advisors/managers only)
- Mark Incomplete — reopens a completed inspection
- Delete — removes the inspection (admins/managers only)
Completing an Inspection
Once you’ve rated all items:
- Click Mark Complete on the inspection card
- Review the summary — it shows Items rated and Items needing attention
- Set the Completed At timestamp (defaults to now)
- Toggle Notify Service Advisor (on by default — sends a notification to the advisor)
- Click Complete Inspection
The advisor gets a notification telling them the inspection is done and how many items need attention.
💡 Pro Tip
You can reopen a completed inspection if you missed something. Click Mark Incomplete in the inspection card’s overflow menu. Technicians can’t reopen — only advisors, managers, and admins.
How Findings Become Estimates
This is the key handoff between technician and advisor:
- When you mark an item Fair or Poor, Wenmar Pro automatically creates a concern on the work order (tagged as a technician finding)
- The advisor sees these concerns on the Estimate tab
- The advisor can turn each concern into a service by clicking Copy to estimate or Add package from the concern’s overflow menu
If you selected a preset finding that links to a package, the package’s services are added to the estimate automatically — the advisor doesn’t need to do anything, the work is already there.
What the Customer Sees
Inspection results are shown to the customer in the portal — but only when the estimate is sent via the portal. The customer sees:
- Items grouped by severity: Immediate concern (poor), Needs attention soon (fair), Good condition (good), N/A
- Photos and videos you attached
- If an item was turned into an estimate service, it shows “Part of your estimate: [service name]”
⚠️ Important
Inspection results are only shown to the customer when the estimate is sent via portal delivery. If the advisor only records an offline authorization (in-person), the customer won’t see the inspection results online.
Managing Templates
Only admins and managers can create or edit inspection templates:
- Click Inspections in the main navigation
- Click New Inspection to create a template, or edit an existing one
- Add Inspection Groups (e.g. “Under the Hood”, “Brakes”)
- Add Tasks to each group (e.g. “Brake Pads”)
- Toggle Measurements if a task needs a measurement (set the unit, e.g. “mm”)
- Add Preset Findings with color ratings (green/yellow/red) and optionally link a package
You can set one template as the Default Inspection — this is the one that auto-creates when a technician is assigned to a work order.
