Reading Work Order Profitability

See how profitable each work order is — revenue, cost, and gross profit dollars and percent — and export the breakdown to a spreadsheet.

Contents

The Work Order Profitability report shows gross profit (GP) for every work order in a period — what you billed, what it cost you, and the difference in dollars and as a percent. Use it to spot the work orders that earn you the most, and the ones eating into your margin.

💡 You’ll need

  • Owner or manager access to reports

Opening the Report

  1. Go to Reports, then choose Work Orders under Profitability.
  2. Pick a Range — This week, This month, Last month, This quarter, or Custom (with Start/End dates).
  3. Narrow it down with Customer, Writer (advisor), Tech (technician), or Category. Filters apply as you change them; click Clear to reset.

Reading the Numbers

Four summary cards at the top: Work Orders, Total GP$, Avg GP%, and Avg GP$/Job. GP$ is your gross profit dollars — billed total minus your costs. GP% is that profit as a percent of the bill.

Below them, the Per-Work-Order Breakdown table lists each work order with its WO#, Date, Customer, Vehicle, Advisor, Tech, Billed and Actual hours, Job Total, Total Cost, GP$, and GP%. Click a sortable heading (WO#, Job Total, GP$, GP%) to reorder. Click a WO# to open that work order.

Exporting

Click Export in the header to download the filtered breakdown as a spreadsheet (CSV).

Tips

  • Watch GP% — Many work orders with a healthy margin beat a few high-dollar ones with thin margins.
  • Filter by Tech or Category — Quickly compare how different techs or service categories perform.
