Fleets

View all your fleet accounts in one place, filter them by balance and visit recency, and import or export your fleet list.

The Fleets page is your at-a-glance view of every fleet (commercial) account at your location. While the Customer Database covers how fleet accounts, drivers, and charge accounts work, this page is where you track the whole fleet book.

The Fleets Page

Go to Fleets in the main navigation. It lists every fleet account with:

  • Name and primary phone
  • Balance — current outstanding balance
  • Open WOs — count of open work orders (highlighted if any)
  • Vehicles — how many vehicles belong to the account
  • PO Terms — whether the account requires a purchase order number, and its billing terms
  • Last visit — when they were last in

Search by fleet name, company, or phone. Filter by:

  • Last visit — Over 3, 6, 12, or 18 months ago
  • Has balance — only accounts with an outstanding balance

Each fleet row has quick actions: Edit, New WO, Receive Payment, and Message.

Creating a Fleet

Click New Fleet. This opens a new customer form pre-set as a fleet account. Set the company name, toggle This is a fleet account, and add drivers and billing terms.

Fleet Manager Portal Access

On a fleet account’s work order, you can generate a Fleet Manager Access link. This gives the fleet manager a secure link to view all work orders for their fleet vehicles, approve estimates, and pay invoices without being a customer of yours.

Importing Fleets

  1. On the Fleets page, click Import
  2. Download the template to see the required format
  3. Fill in your fleet rows and upload the file
  4. Review the results and finish

Fleet imports use the same spreadsheet format as customer imports, with the fleet account fields (company name, fleet ID, billing terms) included.

Exporting Fleets

  1. On the Fleets page, click Export
  2. Review the summary — it tells you how many fleet accounts will be exported
  3. Click Start Export — you’ll get a notification when the file is ready
