Adding Parts and Labor to a Service

Build estimates by adding services, parts, labor, fees, and sublets — with packages, pricing modes, and tax controls.

Every estimate is built from services. Each service is a container that holds line items — parts, labor, fees, discounts, and sublets. This article covers how to build up a service with the right parts and labor, set pricing, and manage tax.

Services vs Line Items

  • Service (WorkOrderService) — a billable service on a work order (e.g. “Front Brake Service”). Has a name, category, technician, pricing mode, and authorization status.
  • Line Item (WorkOrderLineItem) — an individual charge within a service. Types: labor, part, fee, discount, tire, checklist, core credit.
  • Package — a reusable template of services + line items. When you add a package to a service, it injects all its line items automatically.

Adding a Service

On the Estimate tab, click the Add button. The search box placeholder reads: “Search packages or type a service name…”

From a Package

Type to search your package library. Results show the package name, category, estimated hours, and total. Click a result to add it — Wenmar Pro creates the service and injects the package’s line items (parts, labor, fees) in the background.

Custom Service

Type a name that isn’t in your packages and submit. A bare service gets created — you add line items manually.

From a Concern

Open the Concerns panel on the Estimate tab. Each concern has an overflow menu (three dots) with:

  • Copy to estimate — creates a service from the concern text
  • Add package — creates a service and applies a package to it

From an Inspection

If a technician selected a preset finding linked to a package during inspection, the package’s services are already on the estimate. You’ll see an “Inspection” badge on those services.

Adding Line Items

Once a service exists, use the Add line item dropdown (plus icon) on the service to add:

  • Add Labor (wrench icon) — description, hours, rate, and pricing mode
  • Add Part (nut icon) — search inventory or enter manually
  • Add Sublet (truck icon) — subcontracted work (towing, machine work)
  • Add Fee (receipt icon) — shop fees
  • Add Discount (tag icon) — flat or percentage discount

Adding Labor

  1. Click Add Labor
  2. Enter a Description (e.g. “Oil Change, Brake Inspection”)
  3. Set Hours and Rate
  4. Choose a Pricing Mode: Standard (manual), Fixed, or Matrix (if your shop has a labor matrix configured)
  5. Optionally assign a technician
  6. Save

Adding Parts

  1. Click Add Part
  2. In the Part field, search by part number or description — this searches your inventory
  3. Selecting a stocked part auto-fills the part number, brand, vendor, cost, and sell price
  4. If the part isn’t in inventory, type a description to create a non-stock line item
  5. Set Quantity, Part Type, and pricing (Cost and Retail)
  6. Choose a Part Source: Needed, To Pull, Quoted, or Customer supplied
  7. Toggle Taxable on or off
  8. Save

💡 Pro Tip

When you select a part from inventory, the sell price is auto-calculated using your shop’s parts matrix (if configured). You can override it manually, but service advisors can’t sell below cost or undercut the matrix price without manager permissions.

Adding Sublets

Sublets are for subcontracted work — towing, machine work, glass replacement.

  1. Click Add Sublet
  2. Enter a Title (e.g. “Towing”)
  3. Optionally select a Vendor
  4. Add line items (description, qty, unit price, unit cost)
  5. Set fulfillment status: Pending, Ordered, Received, or Completed
  6. Save

Adding Fees and Discounts

  • Fees — flat amount, percentage of service, or per-unit. Default name: “Service Fee.”
  • Discounts — flat amount or percentage. Can apply to the entire service, or scope to Labor Only, Parts Only, or Sublet Only.

Pricing Modes

Each service has a pricing mode controlling what the customer sees:

Mode Badge Customer Sees
Standard (none) Full breakdown — each part, labor line, fee listed separately
Lump Sum Hidden (eye-slash, purple) One total price — internal breakdown visible to staff only
Package Flat (lock, teal) One total price locked at a flat rate

Switch modes from the service’s overflow menu → EditPricing Mode. For Package mode, set the Package Price (defaults to the current total). You can’t change pricing mode or package price on an approved service.

Tax Controls

Each service has two tax toggles:

  • Labor Tax — toggle whether labor is taxed
  • Parts Tax — toggle whether parts are taxed

Find these in the service’s overflow menu. The service footer shows the tax breakdown (Labor tax + Parts tax) when you hover over the Tax line.

Individual line items also have a Taxable toggle in their edit form.

Draft vs Published

Services start as drafts — not visible to the customer. The badge reads “Draft — not visible to customer.”

Toggle the draft/published switch on the service header to publish. Published services show “Needs authorization.”

When you click Share Estimate, all draft services are automatically published for you.

Packages

Packages are reusable service templates. Admins and managers manage them under Packages in the main nav.

  • Create packages with pre-built labor, parts, fees, and checklists
  • Search and add them to any work order from the Estimate tab
  • Set a flat price on a package to auto-apply Package pricing mode
  • Save an existing service as a package: service overflow menu → Save as Package

Enhance with AI

If your plan includes AI features, you’ll see an Enhance with AI button (sparkle icon) on the service edit form. Click it to get AI-suggested improvements to the service name, category, and customer notes based on the service context.

Time Tracking

Once a service is authorized and the work order is in progress, technicians can track time on the WIP tab:

  • Start — begins a time entry (stops any other running timer for that tech)
  • Pause — stops the active time entry
  • Done — marks the service complete
  • Adjust Clocked Time — correct the total time (add/subtract hours and minutes, with an optional reason)
