Every vehicle in Wenmar Pro has a service history — a chronological record of all work orders, services performed, parts used, and odometer readings. This helps you answer “when was the last time this car was in?” without digging through paper files.
Viewing Service History
There are two ways to see a vehicle’s history:
From a Work Order
On a work order’s Summary tab, the Vehicle History sub-tab shows past visits for this vehicle at this location.
From a Customer Profile
- Open the customer profile
- In the Vehicles section, each vehicle card has an overflow menu (three dots)
- Click View History
This opens a modal showing the vehicle’s complete service history with work order numbers, dates, odometer readings, services performed, and totals.
From the Vehicle Profile
- Go to Vehicles in the main navigation
- Open a vehicle
- Click the Service History tab
What’s in the History
Each entry in the service history shows:

Odometer Trend
If you’ve been recording odometer readings, the history shows an average distance between visits calculation: “Averaging N km between visits.” This helps you spot customers who are due for service based on their typical driving patterns.
Adding a Vehicle
- Go to Vehicles → New Vehicle
- The fastest way: enter a VIN and click Autofill — this decodes the VIN and auto-fills year, make, model, engine, and body type
- Or select year/make/model from the dropdowns (autocomplete helps as you type)
- Add License Plate and province/state for easy lookup
- Set the Odometer reading and unit (km or mi)
- Select the Owner (search for a customer)
- Click Save Vehicle (or Save & New Work Order to jump straight into a work order)
💡 Pro Tip
On mobile, you can Read VIN from photo or Read license plate from photo — point your camera at the VIN or plate and Wenmar Pro fills it in automatically.
VIN Lookup
Enter a 17-character VIN and click Autofill to decode it. This works for most vehicles from 1996 onwards. For pre-1981 classic cars (which had shorter VINs), the 17-character requirement is relaxed.
If the VIN is already in your database, you’ll see a duplicate warning before creating a new vehicle.
Transferring a Vehicle
When a customer sells a vehicle to someone else in your database, you can transfer it:
- Open the vehicle
- Click Transfer (or overflow menu → Transfer)
- Search for the New Owner
- Choose a Transfer Mode:
- Vehicle only — reassign just the vehicle. Work order history and invoices stay with the original customer.
- Vehicle & service history — reassign the vehicle and its non-finalized work orders. Invoices stay with the original customer.
- Everything — reassign the vehicle, full history, and all invoices/payments. Use this to correct a data entry mistake. Cannot be undone.
- Click Transfer Vehicle
⚠️ Important
If the vehicle has open work orders, you’ll see a warning. You can still transfer — the open orders will belong to the new owner.
Vehicle Tags
Tags work the same as customer tags — account-wide, 18 auto-assigned colors. Tag vehicles for quick filtering (e.g. “Fleet,” “High Mileage,” “Warranty”).
Fleet Vehicles
Fleet vehicles belong to fleet account customers. They inherit the customer’s Fleet ID automatically. Fleet vehicles can have:
- Unit # — a unique identifier within the fleet (required for fleet vehicles)
- The Fleet ID propagates to all vehicles when set on the customer
Courtesy Vehicles
Courtesy vehicles (loaner cars) are tracked separately with a Courtesy badge. They’re managed under Courtesy Vehicles and assigned to work orders as needed.
Vehicle Search
From the Vehicles page, search by VIN, plate, or customer name. Filters include:
- Year and Make
- Fleet only — show only fleet vehicles
- Open WO — vehicles with active work orders
- Needs follow-up — vehicles flagged for follow-up
- Tags
Importing and Exporting Vehicles
Both use a CSV file — a spreadsheet with columns, one vehicle per row.
Import
- Go to Vehicles → Import
- Download the template
- Each row needs a customer link (
customer_legacy_id,customer_email, orcustomer_phone) andyear/make/model - VIN must be 17 characters (1981+)
- Fleet vehicles require
unit_number - Upload, review, and import
Export
- Go to Vehicles → Export (apply filters first if needed)
- Review the summary
- Click Start Export — you’ll get a notification when the file is ready
Safety Inspections
For vehicles requiring annual safety inspections, the vehicle profile shows:
- Annual Safety Expires date
- Status badge: Expired, Expiring Soon, or Valid
- DriveOn import records (if you use the DriveOn integration)
